Remote Team Motivation: How to help your team stay on track!

With so many businesses moving to remote work, some managers are finding that they need a whole new set of skills to help with remote team motivation and connectivity. Here, we take a look at several strategies you can use to keep the spark of teamwork alive from a distance.

Increase communication

Research shows that promoting casual conversation and regular breaks in the workplace can boost productivity and teamwork. It may also present the opportunity for casual brainstorming. Create some virtual water cooler moments by setting up a chat room in Slack dedicated to, well, chat. And, instead of just setting it up and leaving it, jump in occasionally with ice breakers and suggestions of topics for discussion.

Schedule a time for co-workers to ‘hang out’ by hosting a mini-conference that focuses on your colleagues’ personal interests. Invite employees to demonstrate their hobbies or skills or give a short talk on a favorite subject.

Another good idea for remote team motivation is to have lunch together. Once a week, schedule a video call, where people can catch up while they eat. You could also randomly pair people up for lunch in breakout rooms or using a purpose-built app like Donut, which invites participants into a custom Slack channel. Even better, send each team member a voucher so they can have lunch delivered while they chat.

Inspire collaboration and learning

Working from home can be tedious, with no one to bounce ideas off, learn from, or brainstorm with. Keep your remote team motivated by offering them the chance to improve or gain new skills. This could involve various online courses or skills development workshops, or providing vouchers for sites such as Skillshare to learn a new skill or brush up on an old one.

Clear communication is essential for remote collaboration. Make sure your team has all they need to connect with each other in a variety of ways. This could include the use of tools, such as XSplit Capture, which allows team members to record their screen as a video with a voiceover and instantly share it as a link, or TinyPulse, which lets you collect continuous employee feedback and run surveys.

Encourage self-reliance

Remote work situations can make some managers feel the need to constantly check in with everyone. However, it is important that you give your team the space to make their own decisions. Of course, you need to define responsibilities, expectations, and deadlines, but you will win the respect of your team by demonstrating that you trust them to produce the work instead of focusing too much on many of the minor details surrounding delivery. This can go a long way to help with remote team motivation

Instead of long meetings, consider a remote daily stand-up meeting – a quick 15 minutes where team members can share what they are planning to accomplish that day, what they need to complete, and what hurdles they think may crop up. Inject fun by adding a 2-minute dance party, house tour, or pet parade.

Using the right collaboration tools, like Jira, Asana, or Slack can help you effectively track your team’s progress. Use naming systems, documentation, tagging, and workflow, to keep a handle on who’s working on what, who had it last, who’s getting it next, and when it’s done.

Remote work, at some level, is likely here to stay but that does not mean that adjustments may not be needed along the way. Above all, make sure that you keep the lines of communication open with your team and remain flexible at all times and you’ll be sure to help with remote team motivation. Before you Stream: What you should be doing before you go live!

One thing not many people consider is how much work goes into even a “simple” live stream. If I just went live, with no preparation, even a stream an hour-long would be boring to the viewer. In my spare time, I help run a few streams with guests and co-hosts, so there’s a lot of moving parts to consider. If you just freestyle it you’re going to end up with either nothing to talk about or one boring stream. In this post, I’m going to go over what pre-stream work I put in to deliver the best stream for an audience (and myself!).

Basic Prep

First up, I’ll figure out the game we’re going to play this week and make sure both myself and my co-host have it and everything is installed and updated. Seriously, how many times have you gone to start a stream and the dreaded “40GB update” happens? (I’m looking at you, Call of Duty Warzone). Just as importantly, however, is to find out how multiplayer works. I’ve learned from experience that just launching into a game and assuming you can just easily add a second player in is only going to lead to problems. Sometimes you’ll need to play a single-player chapter first, or there’s just a long tutorial where you need to unlock something to even open up co-op or multiplayer. Always check this ideally the night before the stream!

Put aside some time with enough time around it to change games if it turns out the game doesn’t fit what you and your guest want. Or, for that matter, even if one of you doesn’t enjoy it, you should change it. Try the game out first! Unless you are giving first impressions for your audience going live and playing something that, turns out, you don’t enjoy isn’t going to be fun for anyone! Ideally, get yourself and your co-host to give it a quick playthrough if it’s something you’ve never played before and just get a feel for it. It might also be the case that it just doesn’t make a great game to stream, fun to play but maybe not to watch or it just takes away too much of your attention so you wouldn’t get to interact with the chat. Checking all of this off the list is important to do before you stream!

Running Order

The next thing you’ll want to do is prep a running order. A running order is essentially a list of everything that’s going to happen in the stream when it’s going to happen as well as key information you don’t want to forget. If it’s a chill stream where you are alone, doing nothing at all but playing a game and reacting to the chat? You might not need this. However, if you have sponsors? Promo codes? Giveaways? All of this can go into a running order! These not only save you having to remember everything but they also give you talking points for when the chat gets a little quiet.

You might not even get to them as the conversation might just flow, but having a few points you can use to get going is useful. Now, if you’re streaming alone? This is really useful! Topics to get the conversation going, for me, mean I don’t miss anything I thought would be fun for that stream. You don’t need to script your live stream, which to be fair people do to great effect but for some streams what you really need are just talking points, for example…

E3 – Xbox – Halo Infinite

That would be enough to jog your memory and say “so did you see Xbox’s E3 showcase? Halo Infinite was a highlight for me!”. Honestly, a running order is key to getting a good live stream together!

Before you go live

One of the first things you’ll want to do is set your titles on your streaming platform of choice. I have myself a number of times gone live with the title and game of the last stream I did still being displayed.

Also, it’s a good idea to coordinate any social media posts you’re going to be doing. You can automate this if you like on a number of services like sprout social, which is useful if you have multiple social channels you’re sharing to. For me, I just want to post something on Twitter the day before with a simple “I’ll be live tomorrow!” style post, then a more expanded post about two hours before I’m due to go live letting people know what I’m playing, with who, at what time and where. Finally, once I have gone live I’ll reply to that tweet with a simple “We’re live!” and the address of the page I’m streaming to.

If you’re using XSplit Broadcaster you can click “Share your stream” once you go live, giving you the option to share it to multiple social platforms at once without opening up another tab. If you’re using an Elgato Stream Deck you can pre-write a simple tweet, and then hit the button once you’re live.

A desk with a streaming setup on it, keyboard, mouse, PS4 control pad, laptop, monitor, a microphone and a heaset, checking all your gear is important before you stream.

If you have a guest, agree on the time you’ll meet on a call before the stream starts. Always make time before the stream starts to check everything is working and ready to go for your guest! This also lets any new info come your way like “the servers are down” or “the guest can’t make it” and lets you pivot with time to spare before going live. Again, solo this is just as important. You don’t want to rush through the door, sit down and hit “go live” and find out nothing works! Giving yourself at least 15mins buffer time before you have said you’ll go live is essential if you can. It’s not always possible, for sure, but if you can, do!

Arrange everything on your monitor so you can see it and go live! Now, I’d advise having a starting soon screen set up in XSplit Broadcaster that can sit for 5/10mins. This is useful not only to let people trickle in but from the standpoint of a pre-stream check as you can open your stream on another device and just check sound and video are coming through with no issues.

Getting your stream prepped before you go live should always be an important part of your pre-stream routine but what does your pre-stream prep look like? Let us know in the comments below and if there’s anything else like this you’d like to see us talk about you can let us know there as well!

The Future of Work: Advantages of a Hybrid Office

With the pandemic changing the way we work, businesses are beginning to think about how they will operate in the future. Instead of choosing to simply bring everyone back to the workplace, many are considering permanently switching to a hybrid office, where employees work part of the time remotely and the remainder in-office. In this blog, we will take a closer look at some features of the hybrid working model and highlight some of the benefits it can offer to both employers and employees.

Emphasis on productivity and flexibility

Instead of measuring performance based on whether everyone is at their desk and looking busy, a hybrid model allows you to focus instead on whether the work is actually getting done on time and to a high standard. This emphasis on performance can actually help managers to focus more on the outcome, by giving them more time to support teams with the resources they need.

For employees, the reduction in time wasted on lengthy commutes and interruptions means a less stressful workday, more focus on work, and improved productivity.

One key to this is using project management and scheduling tools such as Asana and Slack to organize workflows between and among hybrid working teams, along with presentation tools like XSplit Presenter in order to better communicate information remotely. These tools can manage projects, improve presentations so they’re engaging, organize staff schedules and meetings, and even facilitate more casual ‘watercooler’ conversations.

There is no single model of hybrid working. The version you chose will depend on your employees, the nature of your business, and the working situation. The at-will model, which allows employees to choose the work arrangement that suits them best, may not be practical for every office.

Instead, a model where employees split the week between working from home and working in-person, or alternate one week at home and one week in-person, may work better. The benefit of moving to a hybrid office is that it offers flexibility to both employees and employers, and a chance to create a workable solution tailored for each individual company.

Lower costs

A number of businesses have realized that fewer people in the office at any one time means smaller offices – and lower costs. In fact, one recent report by Global Workplace Analytics found that “employers could collectively save over $500B a year — roughly equal to the GDP of Sweden, Belgium, or Poland— or almost $11k for each employee who works at home half of the time.”

The savings don’t stop at rental costs – fewer people in the office also means lower energy costs, and less spent on office supplies, while employees will save on their commuting costs and food (and coffee) expenses.

Many businesses will need to invest some money in new technology and software, but the savings gained from reduced overheads will far outweigh this expenditure. A hybrid office could also make businesses more agile and adaptable by allowing them to reorganize employee work patterns and work in tandem with these to their advantage.

A healthier, happier workforce

Being able to choose how to work and when to come into the office, could also improve employees’ wellbeing. It is easier for employees to take breaks to exercise or simply get some fresh air if they don’t have to worry about being seen as taking an undeserved break – or coming back from a run dripping in sweat.

Less exposure to ill co-workers, environmental and occupational hazards, and the ability to work while recovering from illness or surgery all help reduce both stress and absenteeism in a hybrid office. And reduced absenteeism and turnover eventually translate into a healthier bottom line for the company.

Hybrid work also sends the message that the employer cares about their employees and prioritizes their wellbeing. Hybrid work can also benefit employees by allowing them to live outside major cities or in cheaper areas – reducing stress associated with the high cost of living.

Access talent from anywhere

Hybrid working is a way for businesses to hire the best people for the job – no matter where in the world they are. Hiring an employee who lives 1,000 miles away is no longer a barrier to effective working. This means that companies can have access to the best talent without the requirement to pay for costly VISAs or relocation costs. On top of this, potential employees need no longer be put off by the prospect of having to relocate for a job.

A hybrid office also allows companies to be more flexible about hiring part-time workers or those with commitments at home who might not otherwise think to apply. This could be a particular boon for people with children, who no longer have to contemplate choosing between work and spending time with their family. Such a model gives people more options which in turn maximizes their potential for productivity.

Reducing turnover

Every time a company hires a new employee, there is a cost of anywhere from 10 to 200 percent of the salary involved in finding someone, interviewing, onboarding, and training them. High turnover rates can have a huge effect on the bottom line, as well as on employee morale, productivity, and team dynamics. High turnover can also impact customer confidence and lead to delays.

A hybrid model creates flexibility, which can reduce turnover at a low cost to the company. The Global Workplace report cited above also found that flexibility was so important to employees that, “a third [of employees] would take a pay cut of up to 5 percent for the opportunity [to work from home] and nearly a quarter say they would forego over 10 percent of salary.” Money talks and that alone is a pretty compelling reason for companies to consider switching to such a working model in the future.

Working remotely full-time may not be right for every business or every employee, but there is strong evidence that a hybrid office model offers more benefits than drawbacks. The future, it seems, is hybrid.

Getting Stream Sponsorship: The Stats That Matter!

Alright, so you’ve been on the grind for a few months or even years now. You’re starting to see consistent viewership on your content and you think that now is the time to start getting paid for your content. I think a lot of creators spend so much time honing their craft, that it’s a bit scary when you start talking to brands for stream sponsorship, especially beyond the usual product sponsorship or affiliate sales. So what do you need to do to prepare? Well, that’s what we’re going to talk about in this blog!

What is your reach?

First and foremost, it’s important to acknowledge what the sponsor is paying for. In all honesty, they’re not paying for your production quality or creativity. They’re paying for access to your audience, in the form of clicks and impressions, we’ll call this your “reach”. They want brand awareness, hopefully, a click, and especially a sale.

This is how camera review channels have bankrupted me because they make all the gear look so cool, that I just NEED to buy it. But now that you know this, you need to structure your content to accommodate. If you don’t have stream sponsorship or brand deals, you can still figure out what your reach is! Basically, any sponsor is going to ask you to tell your audience to go to a link or use a special promo code. This gives them a way of tracking your value to them as a partner by seeing how many people clicked the link or made a purchase.

However, there are ways you can gauge this yourself. Startup a Patreon, run a giveaway, or run discounts on your merch. Whatever you do, create a link or discount code that you can then track. This is how you’ll determine your reach. For example, let’s say you’re running a giveaway for some shirts you made, rather than have people sign up via a google form, use a tool like gleam.io to run the giveaway or put the link to the form behind a shortener like bit.ly. This way you get stats on how many people clicked your link and joined the giveaway.

Knowing this will let you know how much you’re worth as brands can spend tons of dollars daily on google ads just to get a click on their site to very broad audiences that may or may not be interested. You, however, can offer the sort of audience they want and you can quantify with numbers how many people will follow a link to a product you have posted before.

So let’s say a brand approaches you saying they want you to promote their toothbrush that costs 300 dollars and they’ll pay you with the toothbrush + 200 dollars. Now your channel is about oral hygiene and you did a giveaway that got 5000 sign-ups, well based on that I think you have a good leg to stand on to ask for a bit more as your reach is wider and more specific to the audience they are trying to reach!

Know your audience

I’m sure you’ve seen people talking about TV ratings and target demographics like 18-35, income brackets, and the like, right? Knowing your audience, their purchasing power, and interests are going to be very important to selling yourself for stream sponsorship. I know a lot of people are here because they’re into streaming games and making that a career, but you have to face the reality of what a predominantly gaming audience will be willing to buy. They’re likely going to want to buy the games they want to play first and then whatever makes that gaming experience the most enjoyable. Maybe they’ll buy some merch affiliated with the game?

So if you’re a league of legends streamer and you see Target is selling LoL lunch boxes, that is the kind of collaboration that would be good for your audience. Now, if you do broader content, like reactions or reporting on news, then you’re going to have to use some other tools. First and foremost, especially if you’re on youtube, look at your analytics!

YouTube Analytics is amazing for finding your audience demographics. You can see the age range of your viewers, where they’re located, and where/how they found your content. This will at least give you a baseline of what kind of products your audience may be interested in. If your age demo is 18-24, maybe don’t go for a Werther’s Original sponsorship, unless that’s a thing on TikTok now.

If you need more insight into your audience, then you need to use the tried and true marketing tactic, the survey! Basically, you’ll just need to run a survey, where whoever answers gets a chance to win a prize and promote it in your content and all your channels. This is where you can find out valuable data about your users like what they might buy which can then, in turn, inform how you’ll approach sponsors.

Partnerships, not Sponsorships

So your first few sponsored videos are likely going to be product reviews or promotions. But eventually, you’ll find a brand you’ll want to keep working with and this is where you try to form a partnership instead of just a sponsorship. How do you do this? Well, you need to provide a TPS report (this is an Office Space reference, for those of you born after 1999Ed), I mean a post-activation report.

Basically, after the promotional period, usually, a few days after the video releases, you’ll want to follow up with the sponsor with a short report on how you think it went. This will include stats from your analytics, samples of social media posts, snippets of audience responses, and your thoughts on what went well and didn’t with your stream sponsorship.

Basically think of it as another sales pitch as to why a brand should keep working with you. One important part of this process is to set reasonable KPIs (key performance indicators). This could be impressions, clicks, or even sales. Don’t promise the world and if you’ve been following the advice in this blog post, you should be able to get a good idea of what you can offer.

Now if you hit or exceed those KPIs, with a post-activation report or After action report (AAR) as it’s known in some circles, then you have a strong case to build an ongoing partnership with a brand.

Now, this is just the tip of the iceberg into the realm of selling out, or digital marketing as the pros call it. If you take away anything from this blog post, it’s to know your audience to know your worth. I wish I could say it’s as easy as having high production quality in your videos, but with these things, it’s more like having high engagement quality.

Do let us know, however, what you think? Have you had a stream sponsorship deal before? What was it like? Do you have any tips for reaching out to sponsors? Let us know in the comments below! And if there are any subjects like this you would like us to cover in the future, well, right there in the comments is the place to put it as well! Good luck out there!

Creating Media Rich Presentations to Improve Your Online Meetings

Found yourself attending a lot of online meetings recently? In the US alone, there are now 11 million video conference meetings held every day, and sometimes, by Friday afternoon, we feel like we’ve sat through every single one. Faced with the very real risk of Zoom fatigue, meeting organizers and presenters have had to up their game in order to maintain positive workspace connections. Here’s how to improve online meetings using visuals which can ultimately help you to host better online meetings.

Back to school: why mixing up content matters

Mixing up your media and adding plenty of visuals can greatly enhance communication. Blending presentation slides with visuals and video keeps everyone involved and interested in what’s going on. After all, nobody wants to return to the days of ‘death by PowerPoint’. So, how do we help make sure our online presentations keep everyone at their keyboards?

The good news is that you don’t need to be a tech wizard or have amazing filmmaking skills to create better online presentations. XSplit Presenter is designed to make varied content creation super-easy by allowing you to import videos and images to blend with your Google Slides and PowerPoint presentations from YouTube and Vimeo or your computer. This makes it really easy to keep presenting while opening up places like YouTube on other windows, without revealing your desktop and just pasting the link right in. It also lets you add remote guest speakers seamlessly.

How to improve online meetings using visuals

Using photos, diagrams, charts, and pictograms can really break up a presentation and can be the most effective way of (literally) illustrating a point. We respond well to images, and a presentation that’s visually appealing will help to keep your audience focused. Some topics, like product launches and rebrands, lend themselves better to a visually-based presentation than others.

Take care of the background

A key visual element can be the background of your camera. XSplit VCam lets you preserve your privacy by blurring or replacing your real-life background. You can choose an image that fits well with your presentation by activating your virtual green screen!

Use a good presenter

Good software to deliver your presentation is essential, you will need something feature-rich and easy to use; this is where XSplit Presenter shines! XSplit Presenter allows you to give a professional presentation while adding personality and flair! Easily import your slides from Google Slides, Microsoft Powerpoint, or a PDF and add your camera, which uses our VCam background removal technology, over your slides. You can also easily add media like videos from your PC or from YouTube! You can annotate and highlight your slides in real-time, all while keeping your desktop private by selecting what you want people to see!

Best of all, it works with all calling platforms like Zoom, Teams, Hangouts, and more by acting as a virtual camera! There’s so much more that makes XSplit Presenter the definitive presentation software but you can try it for yourself right now!

Take time to select the best images

If you’ve been tasked with presenting the quarterly accounts update, you might not have as many obvious images to draw from, but you can still make your chart slides look good. Why not import them into your talk with XSplit Presenter, and make the most of its virtual pointer and highlight feature? This is a great way to take a static image and make it interactive online as you can directly highlight the areas you’re discussing and use this tool to answer questions and clarify points!

Remember, using pictures itself isn’t enough, the correct context is also important. You need to make sure that what you’re using relates to what you’re discussing, of course, but most importantly hits the same tone as the presentation you’re giving. Putting a funny image in a serious presentation could be jarring to the viewers and leave a bad impression!

Cut sentences, use bullet points

Using long, run-on sentences in your presentation is not an ideal practice! Bullet points are a better alternative! This allows people to see the key information and scan the text which is much better for quick knowledge absorption. Ideally, in a presentation, you’re going to be filling in all the information as you speak. These bullet points will be useful to remind people what was discussed but also, they are acting as the guide for what you’re going to talk about!

Select color theme wisely

The same as your images, your color theme should fit the context. Using bright, fun colors in a professional meeting can be a mistake, but this is not always true. If you’re pitching something to a company that creates modern, maximal art for example it’s not a bad idea to show that you understand the kind of branding they use. Your best bet is to try and match the colors of the company you’re talking to. If it’s for a company you work for, find out if there is already a color template and try to match that!

How adding video can help your presentation

Have you thought about adding a short film or clip to your online meeting? This change of pace and scene is great for the audience and can be an excellent way to illustrate a point or demonstrate a specific item. This is also a brilliant way for you, as the presenter, to take a quick breather. Have a drink, make any notes you need to, and simply enjoy not looking into the camera for a minute or two.

This ability to add video and visuals puts online meetings ahead of conventional, live ones. Remember the hassle of setting up AV in the boardroom (something XSplit Presenter helps with by having everything in one program and easily guiding you with setup for presentations offline as well)? It’s much easier to keep things slick in a virtual meeting, where you can have everything lined up and ready to go. As mentioned before, you can easily add videos from your desktop, YouTube, or Vimeo in XSplit Presenter! One tip: one of the many benefits of an online meeting is improved timekeeping, so don’t waste this advantage by uploading extended clips. Never be media-rich at the expense of being effective.

We hope you’ve found these tips helpful to upgrade your presentation’s visual appeal. Find out more about the features of XSplit Presenter here and how to set up your first presentation in the video below!

The Benefits of Working From Home: What Do We Want To Keep?

The last year has seen some enormous changes in how we work. Working from home has become the norm for a huge number of people and those who started jobs may not have even met their colleagues in person yet. So, now that things are starting to return to normal, what are the lessons we’ve learned, and what benefits of working from home would we like to keep?

Getting into the zone

One of the big benefits of working from home is the chance to get away from all the sounds and distractions of the office. If you can set your Teams or Slack to silent then there’s a chance to properly focus and get “into the zone” without having your concentration shattered by a colleague asking a question. It can typically take a developer or writer 15 to 30 minutes to get properly focussed on their project, and mere seconds to pop that focus and leave you floundering for your thoughts.

Back in the office, this protection of “the zone” could be continued through a culture of focus times where you can signal that you want to avoid interruptions or by having a meeting-free afternoon once or twice a week. Of course, communication with colleagues is important, too, so this shouldn’t be applied all the time, but trying to set aside some focused time every day can lead to a major productivity boost which has been a benefit of working from home.

Powered up presentations

With all meetings becoming remote and therefore having to be done online, there has been a push for better use of media in presentations. Whether that means including a video, slides, or a demonstration of a website or product, these can all add a bit of extra interest to the meeting and help keep people’s attention. With the move back to the office looming, there are no reasons to change this – more interesting meetings will help with productivity and engagement which is absolutely one of the benefits of working from home that we here at XSplit wanted to keep.

We recommend using XSplit Presenter to make controlling your media and your meeting a breeze. This will help you avoid awkward pauses while you try to find the next Powerpoint file or that webpage that you were sure you had bookmarked as XSplit Presenter will have them ready for you. Another handy feature allows you to superimpose yourself over your presentation while broadcasting to keep your audience’s engagement. While this is ideal for online meetings, XSplit Presenter works offline by connecting to a projector or monitor in your office to still deliver the same media-rich, informative and engaging presentation!

Freedom and flexibility

For employees, one of the biggest benefits of working from home is the added flexibility. Whether that’s simply eliminating their commute time, or having the opportunity to load the dishwasher, mow the lawn or do the school run during quiet periods, it feels like a major perk that people will be reluctant to lose.

If companies want to have their employees back in the office without damaging morale, they could consider allowing a hybrid working system (perhaps 2 or 3 days in the office per week), or allowing flexible working hours so that people can avoid rush hour traffic or fit their work around their personal life. Some thought is required to ensure that colleagues can get hold of each other when they need to, but the boost in morale and less obvious advantages like having more of the day covered to make it more than worthwhile.

It’s tempting to want post-pandemic life to go back to how it was before, but this would be a waste of the lessons learned. Working from home has shown us a different way to do things and has come with its own benefits. For more on this topic, check out our blog on creating routine while working from home.
